Sales Regulations
- Definitions
- Website Operator – PUHIT Kraków Sp. z o.o., the entity responsible for managing and maintaining the hotel's website.
- Hotel – GRAND FELIX Hotel, providing accommodation services and other guest-related services.
- Client – a natural or legal person making a reservation or purchasing hotel services.
- Reservation – the process of ordering a hotel service, confirmed by the hotel.
- Hotel day – the period during which the client has the right to use the hotel room, specified in the regulations.
- Hotel services – services provided by the hotel, including accommodation, catering, and other additional services, settled according to separate VAT regulations.
- Hotel Regulations – the regulations of the GRAND FELIX Hotel property which the Client agrees to comply with upon check-in. The regulations are available at the Hotel Reception.
- General Provisions
- These regulations define the rules for reservations, purchases, and use of hotel services offered by GRAND FELIX Hotel.
- Reservations and service purchases can be made personally, by phone, e-mail, via the Hotel's website, or an external booking portal.
- Making a reservation, including booking a room through the website, implies acceptance of these regulations.
- Prices are listed in Polish zloty (PLN) or euro (EUR) gross.
- Reservation and Purchase of Hotel Services
- The hotel service contract can be concluded electronically via e-mail or by phone directly with the Hotel. The contract is made upon submission of a sales contract declaration and confirmation of the order by the Hotel via e-mail or phone.
- Reservations can be made via:
- the Hotel's website,
- an external booking portal,
- by phone,
- by e-mail,
- personally at the Hotel reception.
- Reservation requires providing personal data and may require prepayment or providing credit card details for guarantee purposes.
- The Hotel reserves the right to reject reservations due to lack of available rooms or other significant reasons.
- If the required deposit is not paid on time and the Client fails to contact the Hotel, the electronic service contract is terminated and the contract is not concluded.
- For telephone, e-mail, or personal reservations, acceptance of the regulations occurs at the stage of reservation confirmation by the hotel.
- Cancellation and Refund Conditions
- Individual service offers may specify the need for a non-refundable prepayment up to 100% of the ordered service value without refund possibility.
- The Client may cancel or modify the order by contacting Hotel staff via e-mail at grandfelix@hotelgrandfelix.pl, by phone, or through an external booking portal.
- If the Client is entitled to a refund due to order cancellation, it will be made in the manner corresponding to the payment method (e.g. card payment – to the card account, bank transfer – to the bank account from which the transfer was made) within 14 days of hotel-approved reservation cancellation.
- Refunds depend on the type of reservation (non-refundable, refundable, etc.).
- If the reservation is not canceled within the specified deadline, the hotel may charge the client costs according to the reservation conditions.
- Any complaints are considered individually for up to 14 days.
- Rules for Using Hotel Services
- The hotel day begins at 16:00 and ends at 12:00 the following day.
- The Client agrees to comply with the rules set by the Hotel, included in the Hotel Regulations, including care for hotel property and observing quiet hours.
- The Hotel reserves the right to refuse service if the Hotel Regulations or sales regulations are violated.
- Online Sales
- The Hotel offers reservation and purchase of services via the website.
- Online payments are processed through secure payment systems.
- The Client receives a reservation confirmation to the provided e-mail address after payment or credit card guarantee.
- Sales for Organized Groups
- Reservations for organized groups require a non-refundable deposit not exceeding 30% of the total stay cost, which confirms the reservation.
- The final number of participants and the range of ordered meals (lunches, dinner, supper, lunch boxes, special meals including allergies, intolerances, and diets) must be reported no later than 3 days before arrival. The price for special meals is arranged individually with the catering manager. After this deadline, changes are not possible, and preparation and settlement will be based on the original order.
- The total amount for the stay must be credited to the Company’s account no later than 1 business day before the group’s arrival. In exceptional cases, the hotel may agree to settle the remaining amount at check-in, provided the total due does not exceed PLN 15,000.
- Coach parking is included in the stay price.
- Depending on the transaction size, the Hotel may grant discounts and rebates.
- The Hotel reserves the right to change room arrangements in unforeseen circumstances.
- Refunds for reservation cancellations are possible only before the deposit payment. After that, only rescheduling or loss of deposit is possible.
- Reservations can be made by e-mail at grandfelix@hotelgrandfelix.pl.
- Submitting a price offer does not equal acceptance of the reservation by the Hotel. Acceptance occurs only after written confirmation from the Hotel.
- Extension of the hotel day is possible depending on availability, with an additional fee agreed individually with the Hotel management.
- Any complaints are considered individually.
- Personal Data Protection and Confidentiality of Communication
- The Hotel processes personal data in accordance with applicable personal data protection laws and pursuant to art. 23(1)(3) and (5) of the Personal Data Protection Act and art. 8(1)(1) of the Act of 18 July 2002 on electronic services.
- The Client has the right to access, correct, and request deletion of their data.
- The Hotel ensures confidentiality of communication, including information provided via the website by Clients who are consumers. This information is stored solely in the Hotel’s IT system unless: – it is publicly available, – disclosure is necessary for proper service provision, – applicable law or authorized government request requires disclosure.
- Final Provisions
- The Hotel reserves the right to amend these regulations.
- Matters not regulated by these regulations are governed by Polish law.
- Any disputes will be resolved by the court competent for the Hotel’s seat.
